How do I know if Synergy UpLink is the right fit?

The best way to find out is to get on a discovery call — it's free and there's no obligation. Generally speaking, we're a good fit if you run a small organization doing meaningful work, you need technology help that's practical and sustainable rather than flashy and expensive, and you want a partner who explains things clearly and doesn't disappear after the project ends.

We're probably not the right fit if you need a large agency with a team of dozens, or if your project requires specialized expertise we don't have (we'll tell you honestly if that's the case).

What does a discovery call actually look like?

About 20 minutes over video call or phone. We'll ask about your organization, what you're trying to accomplish, and what's currently getting in the way. We'll also answer any questions you have about how we work. No slide deck, no sales pitch — just a real conversation to see if there's a fit and what that might look like.

Do I need to know exactly what I need before reaching out?

Absolutely not. In fact, some of our best engagements start with "I know something's not working but I'm not sure what to do about it." That's what the discovery call is for. We're good at helping organizations figure out what they actually need — which is sometimes different from what they think they need.

Do you work with individuals, or only organizations?

Primarily organizations, but we do work with independent consultants, freelancers, and sole proprietors — especially if they're working on something mission-aligned. If you're unsure, just reach out and we'll have an honest conversation about whether it's a good fit.

Scope & pricing

How do you price your work?

We offer three engagement models: hourly support ($95/hr) for smaller or ad-hoc needs; fixed-price project work for defined engagements; and monthly retainers ($600/month for 8 hours) for ongoing support. Every project gets a written proposal with a clear scope and price before any work begins.

What if our budget is really limited?

Please don't let that stop you from reaching out. We have sliding scale pricing available for nonprofits, mutual aid networks, and worker-owned organizations. We can often scope a smaller engagement that still moves the needle significantly — sometimes a few hours of the right advice is more valuable than a large project that isn't quite right. Be honest with us about your budget and we'll tell you honestly what's possible.

How do fixed-price projects work? What if the scope changes?

We start with a detailed scoping conversation, then write a proposal with explicit deliverables, a timeline, and a fixed price. If scope changes mid-project — because you discover something new, or needs shift — we discuss it openly and agree on how to handle it before doing any out-of-scope work. No surprises on either side.

Can I get a proposal without committing to anything?

Yes. The proposal is how you decide whether to commit. We'll put together a detailed scope and price; you review it; you decide. There's no cost for the scoping process and no pressure to sign.

Communication

How do you prefer to communicate during a project?

We adapt to what works best for you — email, Slack, video calls, or some combination. For most project-based work, we do a brief check-in every week or two, plus async updates as milestones are hit. Retainer clients get a monthly strategy call. We're responsive during business hours and don't leave you wondering what's happening.

How quickly do you respond to messages?

Within one business day for standard inquiries. Same-day for retainer clients and active projects with urgent issues. We'll be clear upfront if there are periods when we'll be less available (vacations, etc.) so you're never left waiting without knowing why.

Will we be working with the same person throughout the engagement?

Yes. You won't be handed off between account managers or get a different person each time you email. Continuity matters to us — it's how we actually understand your organization rather than starting from scratch each time.

Timelines

How long does a typical project take?

It depends heavily on the project. A tech audit or small setup task might take a few days. A full website or CRM implementation is typically 4–8 weeks. Larger strategic engagements can run 2–3 months. We'll give you a realistic timeline in the proposal and build in buffer for the unexpected — because something always comes up.

Can you work on a tight deadline?

Sometimes. If you have a hard deadline, tell us upfront — we'll be honest about whether it's achievable and what it would take. Rush work may carry a premium, but we don't use tight deadlines as an excuse to cut corners on quality or documentation.

What causes projects to run longer than expected?

Usually: unclear decision-making on the client side, delayed feedback on deliverables, or discovering mid-project that the original scope was too narrow. We try to head these off with good scoping upfront and explicit agreements about turnaround times on your end. When delays happen, we communicate about them immediately rather than hoping they resolve themselves.

Technical questions

Do you handle hosting and domains, or just build things?

Both. We can set up and manage hosting, domains, email, SSL, DNS — the whole infrastructure layer — or we can build something that hands off to your existing setup, or your team. We'll tell you what makes sense for your situation.

What if we already have a tech setup we want to keep?

We'll work with what you have wherever it makes sense. Sometimes the answer is "this is worth keeping and extending;" sometimes it's "this is costing you more than it's worth." We'll give you an honest assessment and let you decide how to proceed.

Do you provide ongoing maintenance, or just one-time projects?

Both. Retainer clients get ongoing support. Project clients can add a post-launch support package. And if something comes up months after a project ends, you can always reach out — we'll figure out the best way to address it.

Nonprofits & mission-driven orgs

Do you have experience working with nonprofits specifically?

Yes — nonprofits make up a significant portion of our work. We understand the specific constraints: restricted budgets, volunteer capacity, board oversight, funder reporting requirements, and the particular challenge of building systems that survive staff turnover. We don't treat you like a small business that happens to have a 501(c)(3).

Can you help with grant-funded technology projects?

Yes. We can assist with writing the technology sections of grant proposals, developing the budget narrative, and making sure the project scope is realistic and fundable. Post-award, we can implement the funded project and help with any reporting requirements.

What about data privacy and security for organizations that handle sensitive information?

This is something we take seriously and factor into every recommendation. We're familiar with the requirements around health information, client data, and donor privacy — and we'll flag any risks we see in your current setup without waiting for you to ask.
